Appointment against this post is on a local basis. External candidates will be considered only when no suitable internal candidate from the duty station is identified. The candidate is responsible for any travel expenses incurred and visa or work permit issues in order to take-up the appointment. Staff members are subject to the authority of and assignment by the Secretary-General. All staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.

Responsibilities:
This post is located in the Travel Unit in Human Resources Section. The incumbent reports to the Chief, Civilian Personnel Officer. The incumbent performs the following duties:
1. Travel authorizations:
a) Review and verify to ensure conformity with applicable rules;
b) Work out advances/subsistence for staff members;
c) Complete quotation forms and forward to Travel Agents;
d) Check fare constructions on all tickets issued by the Travel Agents;
e) Ascertain that fare quotations given by the Travel Agents are for the most direct and economical routes;
f) Draft faxes, Memos or e-mails to travel agencies and other UN offices for issuance of tickets and Daily Subsistence Allowance (DSA) to travelers.
2. Travel Agents Invoices and tickets:
a) Checking on irregularities on invoices, tickets e.g. working out cost-saving itineraries and flight connections;
b) Drafting notes on queries on invoices, tickets.
3. Travel Queries:
a) Answering queries from staff members regarding their travel eg MoPs;
4. Handling Hotel booking and keeping records of tickets MoPs issued.
5. Carry out other duties as assigned.

Communication – Good communications (spoken and written) skills, including ability to draft routine deadlines.
QUALIFICATIONS
Education:
Minimum of secondary education certificate. Secretarial certificates desired.
Work Experience:
A minimum of six years of progressively responsible experience in administrative services or related area.
Languages:
Fluency in English, (both oral and written) is required; Knowledge of another UN official language is an advantage.
