Responsibilities: |
This post is located in the Travel Unit in Human Resources Section. The incumbent reports to the Chief, Civilian Personnel Officer. The incumbent performs the following duties: 1. Travel authorizations: a) Review and verify to ensure conformity with applicable rules; b) Work out advances/subsistence for staff members; c) Complete quotation forms and forward to Travel Agents; d) Check fare constructions on all tickets issued by the Travel Agents; e) Ascertain that fare quotations given by the Travel Agents are for the most direct and economical routes; f) Draft faxes, Memos or e-mails to travel agencies and other UN offices for issuance of tickets and Daily Subsistence Allowance (DSA) to travelers. 2. Travel Agents Invoices and tickets: a) Checking on irregularities on invoices, tickets e.g. working out cost-saving itineraries and flight connections; b) Drafting notes on queries on invoices, tickets. 3. Travel Queries: a) Answering queries from staff members regarding their travel eg MoPs; 4. Handling Hotel booking and keeping records of tickets MoPs issued. 5. Carry out other duties as assigned. |

QUALIFICATIONS |
Education: |
Minimum of secondary education certificate. Secretarial certificates desired. |
Work Experience: |
A minimum of six years of progressively responsible experience in administrative services or related area. |
Languages: |
Fluency in English, (both oral and written) is required; Knowledge of another UN official language is an advantage. |
